Route 1: let the note taker join live
This is the fastest route. You do not need a Teams licence with recording rights and nobody has to look for a file afterwards. The note taker for Teams and Google Meet works with business links (teams.microsoft.com) and with links from personal Teams accounts (teams.live.com).
- Copy the meeting linkOpen the invitation in Outlook or in the Teams calendar and copy the link behind Join the meeting now. If you are already in the meeting, you find the link in the meeting details or via the button for inviting people.
- Paste the link into MurmelIn the Studio, go to the Vergaderingen (Meetings) tab. Paste the link into the Vergaderlink (meeting link) field and choose Nu deelnemen (join now). If the meeting starts later, choose Later inplannen (schedule) and fill in the start time.
- Admit the note taker from the lobbyIn Teams, "Murmel.nl transcriptie" appears in the lobby. The organiser or a presenter clicks Admit. The note taker is then visible in the participant list.
- Meet and stop whenever you wantThe note taker says nothing and does not share a screen. To stop early, use the stop button in the Meetings tab.
- Open the transcriptAfterwards the transcript is in your Studio, with speakers separated, and you get an email. Give the speakers their real names and export to Word, PDF or text.
Route 2: afterwards from the Teams recording
If someone recorded the meeting in Teams, you can use that file. According to Microsoft a few conditions apply: recording requires a business Microsoft 365 licence, your organisation's IT admin must have enabled recording, and guests or people from another organisation cannot record a meeting. If you do not see the record button, that setting is usually the cause, not you.
Where Teams stores the recording
- Regular meeting (not in a channel): in the organiser's OneDrive for work or school, in the Recordings folder. The recording also appears in the meeting chat.
- Channel meeting: in SharePoint, with the team's files. The recording appears in the channel conversation and is an .mp4 file.
- Downloading: by default only the organiser (and possibly a co-organiser) can download the recording. If you were a participant, ask the organiser for the file.
- Find the recordingOpen the meeting chat (or the channel) and choose the Shared tab. You can also go to the Recordings folder in OneDrive.
- Download the mp4 fileSelect the recording, click More options (the three dots) and choose Download. The file lands in your Downloads folder.
- Upload it to MurmelIn the Studio, go to Spraak naar tekst (speech to text) and drag the file onto the drop zone, or click to choose it. Mp4 is accepted directly; you do not have to extract the audio first. See also mp4 to text.
- Review and exportAn hour of meeting is usually processed in under a minute. Replay doubtful passages in the editor, rename the speakers and export.
Common problems
- The note taker stays in the lobby. Someone with the organiser or presenter role has to click Admit. If nobody watches the lobby, nothing is recorded and no minutes are taken from your balance.
- The note taker cannot get in at all. Some organisations do not allow anonymous or external participants in Teams meetings. Ask your IT department whether that applies to you, or use route 2.
- No record button in Teams. Recording is disabled for your account, or you are joining as a guest. That is controlled by the admin of the organisation hosting the meeting.
- No download option. By default only the organiser can download. Ask them to share the file with you.
- Recording gone. Admins can set an expiry date for recordings. According to Microsoft the owner gets an email when a recording expires and can recover it from the recycle bin for up to 90 days.
- File too large. On Basic you can upload files up to 1 GB, on higher plans up to 2 GB. If a long video is larger, choose an audio-only recording in Teams (Microsoft calls the option Audio only), or see pricing for the higher limit.
Frequently asked questions
Can Teams not transcribe by itself?
Teams has its own transcription feature, depending on your licence and your organisation's settings. Murmel is an alternative if you want a transcript processed in the Netherlands, with a custom vocabulary for names and jargon and exports to Word, SRT or JSON.
Does the note taker work if I am not the organiser?
Yes. You only need the link. Someone in the meeting does have to admit the note taker from the lobby.
What does it cost?
A meeting is counted per minute, just like an upload. Basic costs €10.89 per month incl. VAT for 12 hours. Without a subscription you pay €1.45 per hour incl. VAT with prepaid credits. See pricing.
How do I turn it into minutes?
Murmel delivers the transcript, not the minutes themselves. With the minutes template you pull out decisions and action items quickly. More on the whole process at meeting minutes.
